Available Positions

Legal Assistant

Henein Hutchison Robitaille LLP seeks a highly skilled Legal Assistant to join our esteemed team. In this pivotal role, you will provide comprehensive support to Partners while working collaboratively with the legal team. The ideal candidate will exhibit a proven track record of administrative excellence, with a minimum of five to ten years’ experience in an legal support position. Experience in working within civil litigation departments is a plus.

 

Key Responsibilities:

 

  • Calendar and Schedule Coordination:
    • Expertly manage extensive calendars and court schedules, ensuring optimal time management and seamless scheduling.

 

  • Meeting Support
    • Provide comprehensive support for meetings, court appearances, and speaking engagements, including documentation preparation and logistics coordination.
    • Prepare any required documentation in advance of all meetings, court appearances or speaking engagements.

 

  • Communication Management:
    • Handle all communications with precision, including screening calls, managing correspondence, and responding promptly on behalf of the Partner.

 

  • Practice Support
    • Document preparation: Draft, format and proofread legal documents, correspondence, and reports, including pleadings, affidavits, contracts and briefs.
    • Assist clerks with internal and external coordination of logistics for examinations for discovery, trials and hearings.
    • Establish and organize client files, manage and file incoming emails, correspondence, and documents in the appropriate shared file management system.
    • Collaborate with lawyers, clerks and vendors for the collection, review and production of documents.

 

  • Administration:
    • Record, edit, and review time dockets.
    • Assist with the monthly billing process for Partners.
    • Manage, prepare and submit expenses in a timely manner.
    • Accomplish organization goals by maintaining and adhering to file management policies and procedures.

 

  • Travel Arrangements: Coordinate all travel logistics meticulously, including accommodations, transportation, and itinerary preparation.

 

  • Confidentiality Maintenance: Handle sensitive and confidential information with the utmost discretion and professionalism.

 

Qualifications:

 

  • Experience: Minimum of five to ten years’ experience in a Legal Assistant role
  • Technical Proficiency: Advanced proficiency in MS Office Suite, Adobe, iManage, Soluno
  • Communication Skills: Excellent written and verbal communication skills, with a keen eye for detail.
  • Time Management: Ability to prioritize tasks effectively, manage multiple assignments concurrently, and thrive in a fast-paced environment.
  • Confidentiality: Demonstrated ability to handle confidential information with discretion and integrity.
  • Professional Demeanor: Possess a calm, confident, and professional demeanor under pressure.

Intermediate Accountant

Henein Hutchison Robitaille LLP is seeking a detail-oriented Accountant with approximately 3 years of legal accounting experience to join a boutique Toronto law firm. Reporting to the Director of Finance, this role is responsible for managing financial records, trust accounting, billing, and compliance with legal accounting standards. Experience using Soluno or similar legal accounting software is strongly preferred.

 

Key Responsibilities

 

    • Assist the Director of Finance in maintaining the general ledger, post journal entries, accounts payable, and accounts receivable.
    • Perform monthly account reconciliations and investigate discrepancies
    • Assist with month-end and year-end closing processes
    • Prepare financial statements and management reports
    • Analyze financial data and provide variance analysis
    • Support budgeting and forecasting activities
    • Assist with internal and external audits by preparing documentation and schedules
    • Ensure compliance with accounting policies and internal controls
    • Review and support accounts payable and accounts receivable processes when required
    • Maintain accurate financial records in the company’s accounting system
    • Identify opportunities to improve accounting processes and efficiency

 

Qualifications

 

    • Bachelor’s degree in accounting, Finance, or related field
    • 2-5 years of accounting experience, preferably in a law firm or professional services environment.
    • Progress toward or completion of CPA designation preferred
    • Strong knowledge of accounting principles and financial reporting
    • Knowledge of legal trust accounting procedures is an asset
    • Experience using Soluno or other legal accounting software
    • Strong analytical and problem-solving skills
    • High level of attention to detail and accuracy
    • Advanced Microsoft Excel skills
    • Ability to manage multiple tasks and meet deadlines
    • Strong communication and teamwork skills

HHR has two main practice groups – civil and criminal litigation. Many of our lawyers practice both criminal and civil litigation. However, during the summer experience given the short duration of the term, we offer summer students practical experience in either criminal or civil. During articles, in some cases, we can provide rotations that will include exposure to both practice groups. If you are interested in being a dualist or have a specific interest in only one practice group kindly specify it in the cover letter.
